What personal data we collect

We collect only the personal data you provide:

• Name, address, email, phone number
• Details stored on the Rugby Football Union Game Management System (GMS)
• Newsletter sign-ups: only name and email (stored in Mailchimp)

What we use your data for

• Registering details with the RFU
• Managing and administering club activities
• Alcohol licensing requirements
• Statutory notifications (e.g. AGM/EGM)
• Weekly newsletters via Mailchimp (opt-out available anytime)

Your rights

• Access the personal data we hold (“Subject Access”)
• Prevent use for marketing purposes
• Correct, block, or erase inaccurate data
• Restrict or object to certain uses
• Request deletion of your personal data
• Request a copy of your data in structured format (CSV)

• Rugby Football Union (via GMS)
• Mailchimp (for newsletters only, compliant with Privacy Shield)

Data security

• Stored only on secure RFU & Mailchimp servers
• Membership financial transactions not stored, sent directly to bank
• Treasurer holds bank details securely (password protected)
• Paper records minimised and secured on premises
• Firewalls & antivirus kept up-to-date

Photograph & Video Use

Parents/guardians must agree/decline image permissions on RFU registration forms. Names will never accompany photos. Visiting clubs must notify if photography is restricted.
